What Is Electronic Data Interchange?

Electronic Data Interchange (EDI) is the exchange of standard business documents, such as purchase orders and invoices, directly between two computer systems in a structured, machine-readable format. Neither side re-keys the data: one system generates it, the other ingests it automatically, with no human involved in the transfer.

How EDI Works

  1. A document is generated in one system.
    A purchase order is created in the buyer's ERP in its native format.
  2. It is translated into a standard EDI format.
    EDI translation software converts it into a standardized transaction set, such as ANSI X12 in the US or EDIFACT internationally.
  3. It is transmitted to the trading partner.
    Sent over a dedicated network, a value-added network (VAN), or increasingly, secure internet protocols like AS2.
  4. It is translated back into the receiving system's format.
    The recipient's EDI software converts the standard format into something their own ERP can ingest directly.
  5. It posts automatically.
    No manual entry is required on either end, since the receiving system reads the structured data natively.

Common EDI Transaction Types

  • 850:
    Purchase Order, sent from buyer to supplier.
  • 810:
    Invoice, sent from supplier to buyer.
  • 856:
    Advance Ship Notice, telling the buyer what is being shipped before it arrives.
  • 855:
    Purchase Order Acknowledgment, confirming the supplier accepted the order.
  • 820:
    Payment Order and Remittance Advice, telling the supplier what a payment covers.

These numbered transaction sets are part of the ANSI X12 standard most commonly used in North America. Trading partners agree in advance on exactly which transaction types, and which fields within them, they will exchange.

Why EDI Adoption Is Uneven

Setting up EDI with a trading partner is a real project, not a toggle. It requires translation software, network connectivity, and a mapping specification agreed between both parties, work that is worth the investment for high-volume relationships with large retailers or major suppliers but is rarely justified for a supplier sending a few dozen invoices a year.

This is why most mid-market businesses run a mixed environment: a handful of large trading partners on true EDI, and the much larger long tail of suppliers still sending PDFs, scanned images, or emailed invoices, because setting up EDI with each of them individually would cost more than the manual processing it would eliminate.

EDI vs. API Integration

  • EDI:
    batch-oriented, document-based, built for structured recurring transactions between established trading partners. Mature and standardized, but comparatively slow to set up and inflexible to change.
  • API integration:
    real-time, request-based, more flexible and faster to build for a single connection, but every trading partner relationship still requires its own integration work unless both sides use compatible systems.

Neither approach solves the long tail of small or irregular suppliers, since both require the counterparty to have (or build) a compatible system on their end. A supplier with no EDI capability and no API is invisible to both approaches equally.

Getting EDI-Level Accuracy Without a Formal EDI Project

The accuracy benefit EDI provides, structured data with no manual re-keying, does not strictly require EDI. AI-based document reading can extract the same fields, vendor, amounts, line items, terms, from a PDF, scanned image, or emailed invoice with comparable reliability, without requiring the supplier to adopt any formal standard or the buyer to run a translation mapping project.

This matters most for exactly the suppliers EDI leaves out: the long tail that will never justify a formal EDI setup but still sends enough invoice volume that manual entry is a real cost.
